The Consulate General in New York is seeking to recruit a service-minded, structured, pro-active, positive, well-organized, and detail-oriented Executive Assistant to the Danish Consul General in New York.

You will be working closely with the Consul General and the team around her. The main tasks of the Consul General’s team are to manage her schedule and make sure that you prepare the Consul General for all her engagements, think through all details, have a thorough understanding and knowledge of the organization, and be one step ahead at all times. As an Executive Assistant, you will report directly to the Consul General and you are the primary point of contact for external and internal inquiries addressed to the Consul General.  

Main tasks and responsibilities as an Executive Assistant (EA):

  • Managing the Consul General’s schedule. 
  • Arranging all meetings and travels of the Consul General.
  • Responsible for arranging all events at the Residence of the Consul General.
  • Event coordinator at Denmark House (the Danish UN Mission and Consulate General joint premises).
  • Logistical coordinator for bigger visits to the Consulate General (Trade and Culture).
  • All ad hoc tasks related to the daily operations of the Consul General.

Required qualifications:

  • At least 5 years of experience working as a PA / EA. 
  • A high sense of responsibility and proactivity.
  • Strong administrative skills.
  • High degree of service-mindedness.
  • Cultural understanding – you work with people from the international diplomatic field.
  • A structured mindset and excellent planning and coordination skills.
  • Ability to work under pressure and handle confidential matters.
  • Excellent command of English – both oral and written. 
  • IT proficiency and solid understanding of Microsoft Office.
  • Great interpersonal skills and team player abilities, as well as understanding the fine balance being the link between the Consul General and her staff.
  • Ability to work independently and efficiently.
  • Ability to be flexible and willing to adapt to the changing needs of the Consul General.

Desired qualifications:

  • Command of one of the Scandinavian languages is not a requirement, but will be considered an advantage.

Employment conditions:

  • You will be offered full time employment for 2 years on a local contract, with the possibility of extension.
  • Your standard working hours will be 37 hours per week with a requirement to be available for events that take place in the evenings, weekends, or holidays. 
  • You will be entitled to 5 weeks (25 working days) of paid vacation days per year. 
  • You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
  • As part of your salary, you will be covered by a workplace retirement plan.
  • The gross yearly salary for the position – for an employee subject to US income taxation – is 76,800$ (For a tax-exempt employee the salary is 20% lower: 61,700$). Depending on the candidate’s qualifications, an additional individual allowance may be added
  • In addition, the Consulate will cover the employer part of the retirement contribution and the employer part of the medical insurance.
