The Consulate General of Denmark in New York is seeking a full-time Administrative Project Assistant to join our team starting February 1st, 2025.

 

As part of the Joint Administration at the Consulate General and the Permanent Mission of Denmark to the United Nations (both located at “Denmark House” in the Chrysler Building), you’ll work in a dynamic environment with a variety of agendas and responsibilities. We are looking for an adaptable, solution-oriented Administrative Project Assistant who is ready to execute on diverse practical ad hoc tasks as they arise. While your primary focus will be on real estate tasks and projects, you will also take on a range of administrative duties, including compliance, logistics and inventory. Additionally, you will be expected to contribute to tasks beyond your core portfolio, supporting the team in a collaborative and flexible manner.

 

Main tasks and responsibilities as an Administrative Project Assistant:

• Serve as the primary point of contact for all real estate tasks, including renovation projects at Denmark House and residences.

• Manage sourcing, contracting, and supervision of repairs, maintenance, and rebuilding efforts.

• Oversee inventory management, including procurement and sale, and logistics coordination.

• Assist incoming and outgoing posted staff with housing logistics, including lease agreements, board approvals and shipment of personal goods.

• Address and resolve housing-related issues, including communication with landlords.

• Prepare budgets and forecasts for housing- related expenses for posted staff, ensuring alignment with overall administrative compliance.

• Perform ad hoc administrative tasks to support operations and general administration.

 

Minimum requirements

• Professional Experience: Entry level

• Multitasking and Organization: Strong ability to manage multiple projects simultaneously, prioritize tasks effectively, and meet deadlines.

• Tech Proficiency: Advanced proficiency in Microsoft Office applications, including Excel, Word, and Outlook.

• Language Skills: Fluent in written and spoken English, with the ability to communicate clearly, professionally, and openly.

• Problem-Solving and Adaptability: Solution-oriented mindset with the ability to adapt quickly to changing tasks and responsibilities.

• Attention to Detail: Exceptional attention to detail, ensuring accuracy and quality in all work.

• Collaboration: A team player with strong interpersonal skills, capable of working effectively in a multicultural environment.

 

Preferred qualifications

• Real Estate Knowledge: Familiarity with real estate practices and lease agreements in New York City is an advantage.

• Logistics and Contracts: Experience with managing logistics, contracts are an advantage.

• ERP Systems: Proficiency with ERP systems, such as Navision, is an advantage.

 

Employment conditions

• Expected Full-time employment from February 1st to June 30th 2025 (there may be a chance for extension).

• Standard working hours: 37 hours per week.

• 10 paid vacation days for 5 months employment

• Sickness coverage for you and your spouse/partner/children under 26, if you financially support them.

• Enrollment in the workplace pension scheme as part of your salary.

• Monthly salary: $5,087.65 for employees subject to US income tax or $4,070 for tax-exempt employees, non-US. An additional allowance may be added based on qualifications.
