The Consulate General of Denmark in New York is seeking to recruit a full-time administrative officer with focus on real estate tasks to start as soon as possible.  

You will be part of the Joint Administration of the Consulate General and the Permanent Mission of Denmark to the United Nations in New York (the two entities are co-located in “Denmark House” in the Chrysler Building). Working in an environment with multiple agendas, we are looking for an administrative officer who is flexible, adaptable to change, open-minded and able to think out of the box.

Denmark is a candidate to the UN Security Council in 2025-26 and this entails a major refurbishment of the joint Chancellery of the Danish UN-Mission and the Consulate General. Handling of contractors, tenders, logistics, permissions, logistics etc. for this project will be an initial core task of the position. Thus real estate tasks and projects will be your main focus area, but you will also work with other administrative tasks such as compliance, logistics, inventory and financial management, and you are expected to contribute to tasks outside your own portfolio.
  

Main tasks and responsibilities as an Administrative Officer:

  • Point of contact for all real estate tasks and projects
  • Rebuilding projects at Denmark House and residences
  • Sourcing, contracting and supervising repairs and maintenance
  • Inventory management, including procurement and sale of inventory
  • Assisting incoming posted staff with lease and board approval
  • Handling issues regarding housing/landlord
  • Handling logistics for incoming and outgoing posted staff
  • Preparing budget and forecasting for housing expenses for posted staff
  • Taking lead on compliance within administration and real estate
  • Ad hoc administrative tasks

 

Requirements for the position:

  • Minimum 2-4 years professional experience with administration and/or real estate
  • Knowledge about the real estate and lease agreements in NYC will be an advantage
  • Experience with logistics, contracts and tenders in US will be an advantage
  • Experience with ERP systems (Navision) would be an advantage
  • Ability to work on multiple projects at once and to meet deadlines
  • Experienced user in Microsoft Office - Excel, Word and Outlook
  • Fluent in English (written and spoken) and ability to communicate clearly and openly

Employment conditions

  • You will be offered full time employment until January 2027 (with the possibility of extension)
  • Your standard working hours will be 37 hours per week
  • You will be entitled to 5 weeks (25 working days) of paid vacation days per year.
  • You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
  • As part of your salary, you will be covered by a workplace pension scheme The gross yearly salary for the position – for an employee subject to US income taxation – is 71,553$. For a tax-exempt employee (non-US) the yearly net salary is 57,226$. Depending on the candidate’s qualifications, an additional individual allowance may be added.
