At the Consulate General and Innovation Centre of Denmark in Silicon Valley, we are looking for our new colleague to join our dedicated administration team of 6 staff members. The team covers administration, HR, consular affairs, security, events and financial activities at the representation. The representation is comprised by a dedicated, dynamic and results-oriented team of 38 members of staff, covering a wide range of foreign policy, tech, innovation and trade related areas. We take pride in our work and results that feed into the strong relations between Denmark, California and the US.
About your role
In close cooperation with the management team the daily work will focus on event planning, administration and facility management. The work will also include financial administration and the use of relevant systems, making sure rules are abided.
Main tasks and responsibilities
Specific tasks include, but are not limited to:
- Overall responsible for events. Event planning. Managing, and executing events to meet objectives. This includes conceptualizing, budgeting, venue selection, vendor management, logistics, financial administration and post-event tasks.
- Management and maintenance of facility management.
- Ensuring that events and facility management is in compliance with all applicable rules, regulations and law, being comfortable operating in a highly regulated environment.
- “Super user” in non-technical accounting system and in time registration system.
- Non-technical IT administration, liaising with IT providers and the IT department in The Ministry of Foreign Affairs of Denmark.
- Ad hoc assignments from the management.
Required qualifications
- Experience with event planning and project management.
- A high sense of responsibility, proactivity and service-mindedness.
- Strong administrative and communicative skills.
- A structured mind-set and excellent planning and coordination skills.
- Ability to work under pressure.
- Excellent command of English – both oral and written.
- Strong interpersonal skills and team player abilities, while also having the ability to work independently and efficiently.
Desired qualifications
- Command of one of the Scandinavian languages is not a requirement, but will be an advantage.
Employment conditions
- You will be offered full time employment for 2 years as a mission-employed staff with the possibility of extension.
- Your standard working hours will be 37 hours per week. Overtime work is to be expected during peaks and will be compensated for.
- You will be entitled to 5 weeks (25 working days) of paid vacation days per year.
- As part of your salary, you will be covered by a workplace pension scheme.
- You will be offered health coverage, which includes your spouse/partner as well as children under the age of 26, if applicable.
- You will be working from our office in Silicon Valley located at 299 California Avenue, STE 200, Palo Alto, CA 94306.
- Housing and relocation benefits are not provided as part of the employment and your spouse/partner, if applicable, is not eligible for a work permit.
- Your starting date is ideally as soon as possible.
