We are looking for an organized and self-motivated office administrator who will be responsible for providing administrative support to our visitors, office personnel, and external partners. 
 
In order to be successful in this position, you should be solutions-oriented, professional and have excellent written and verbal communication skills. You should thrive in an administrative role and have a unique ability to handle the unexpected. The ideal candidate for the role is a flexible problem-solver, but also someone with a detail-oriented mindset. 
 
You will be part of the Joint Administration of the Consulate General and the Permanent Mission of Denmark to the United Nations in New York (the two entities are co-located in what we call “Denmark House”). Working in an environment where the agenda can easily change, we are looking for a proactive and independent Administrative Assistant/Officer, who are able to take ownership of tasks and a team player. 

 

Main tasks and responsibilities as an Administrative Assistant/Officer:

  • You will provide service to visitors, staff, management, and external partners
  • You will ensure general management of office by overseeing operational efficiency, effective communications, and other strategic and tactical planning
  • You will manage company facilities, including space planning/design, vendor contracts and relations, and office functions and services
  • You will work on organizational goals while maintaining an efficient, productive, and positive office culture and employee experience
  • You will be working with our on/off boarding of personal
  • You will handle ad hoc administrative tasks

Requirements for the position:

  • You have professional experience from a similar position or within administration
  • You are fluent in English – written and spoken – and, ideally also in Danish
  • You have ability to work on multiple projects at once and to meet deadlines
  • You are experienced user in Microsoft Office - Excel, Word and Outlook 


Employment conditions:

  • You will be offered full time employment for 2 years on local terms with the possibility of extension
  • You will be employed with a work week of – on average – 37 hours, including a 30 minutes daily lunch break, but you are employed without an upper hours’ working limit. This implies that you must work more than 37 hours a week if your work so requires without receiving compensation for overtime. You must expect longer working hours during peak periods
  • You will be entitled to 5 weeks (25 working days) of paid vacation days per year
  • As part of your salary you will be covered by a workplace pension scheme.
  • You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
  • The gross yearly salary for the position – for an employee subject to US income taxation – is 59,000 $. Depending on the candidate’s qualifications, an additional individual allowance may be added
